Body
This summer, we’ll roll out the updates to the UO’s Dropbox service that we announced last spring.
Starting July 1, you’ll receive a baseline amount of 2 TB of storage for free, which can be increased for a yearly fee.
Nearly everyone can simply keep using Dropbox as they do today—and that’s by design. The 2 TB baseline meets the needs of the vast majority of UO users.
What to expect starting July 1
- Individual Dropbox storage: 2 TB free. Additional storage is available through team storage—even for individuals (see below).
- Dropbox team storage: 2 TB free. Additional storage is available at the UO-subsidized rate of $40/TB/year, billed to an index. Learn more about Dropbox team storage billing.
What’s not changing
- We encourage you to use the UO’s Dropbox. It’s secure, supported, and cost-effective.
- Dropbox remains widely accessible for UO research, scholarship, and work. Fees for extra storage are subsidized and below market rates.
Do I need to take action?
- Under 2 TB of storage? No action is required.
- Over 2 TB? Only a small number of users are affected, and we’re contacting them directly.
What if I reach 2 TB after July 1?
- Nothing will be deleted.
- Individuals at 2 TB won’t be able to add, sync, or modify files until they free up space.
- Team storage over 2 TB will automatically incur fees. Learn more about Dropbox team storage billing.
Why the change?
As part of the UO’s digital storage transformation, this approach:
- Ensures everyone has storage options to meet their needs—now and in the future.
- Prevents unmanaged growth in usage that could affect the whole community.
- Supports long‑term resilience amid changes by cloud storage vendors.
- Helps us responsibly steward UO resources.

Data Security and Records Management
- UO employees are responsible for being aware of the sensitivity of the data they handle, for using approved storage locations that support that policy, and for following other controls associated with different classes of data. The Information Security Office is available to help you identify secure and compliant solutions. (Some UO cybersecurity reference pages require a Duck ID login.)
- Before deleting files or other data, or moving them out of UO systems, employees should be aware of their recordkeeping responsibilities as explained in the short video Records and Our Shared Responsibilities from University Records Management.
